Getting started
- Download the workbook from the website and save it to your computer.
- When you open the workbook, you may get several security warnings, depending on your computer settings.
Security warnings

This workbook contains multiple tabs, as shown below:- Introduction
- Full-time students (only visible if you select Full-time students on Introduction tab)
- Part-time students (only visible if you select Part-time students on Introduction tab)
- Systems and processes
- Help
If you have full-time students at the school who were present at school for less than 11 days between the first day of the school year and Census Day, select the Full-time students checkbox. The Full-time students tab will appear.
If you have part-time students at the school who were present at the school for less than the minimum period for part-time students between the first day of the school year and Census Day, select the Part-time students checkbox. The Part-time students tab will appear.
All other tabs are shown by default.
'Introduction' tab
The ‘Introduction’ tab has three (3) areas to be completed before progressing to the next tab.
- Type of student (Full-time and/or Part-time students)
- School details
- Relevant period
Type of student
Start by selecting below whether you have full-time and/or part-time students who should be entered on this form. If you do not have students who were present at school for less than 11 days (full-time students) or less than the minimum period (part-time), leave both of the checkboxes blank.
If you select ‘Full-time students’ a new tab will appear at the bottom of your workbook as circled below.
If you select ‘Part-time students’ a new tab will appear at the bottom of your workbook as circled below.
If you select 'Full-time students' and ‘Part-time students’ both tabs will appear at the bottom of your workbook as circled below.
School details
Complete each of the fields with the relevant information ensuring that the name of the school is exactly as listed on the Register of Non-State Schools. The centre code, also known as CIS code, was provided in the letter sent to your principal. This code is also available from the register.
Relevant period
Enter the date of the first day students are to attend your school in 2020 in the field circled below.
Once this is populated, it will update the Relevant period (RP). The relevant period is the number of days between the first day that students are to attend the school in the calendar year and Census Day (including both first and Census Day).
Once this tab has been completed move to the next tab available.
'Full-time students' tab
Enter each full-time student who was present at school for less than 11 days between the first day of the school year and Census Day. Enter details in each column to work out if they are eligible for inclusion in the full time count of the census. Columns that are automatically calculated are bold.
- Column 1 – Enter a unique student identifier, which does not explicitly identify any individual.
- Column 2 – Select the year level of the student from the drop-down menu.
- Column 3 – Select the gender of the student from the drop-down menu.
- Column 4 – Automatically calculated from the information entered on the 'Introduction' tab.
- Column 5 – Always 11 days (pre-populated)
- Column 6 – Enter the number of days the student was present at school from the first day of the school year until Census Day.
- Column 7 – Enter the number of days the student was absent that were beyond the control of the student, parent or guardian.
- Column 8 – Enter the number of days the student was absent that were within the control of the student, parent or guardian.
- Column 9 – Automatically calculated from values in columns 5, 6, and 7. It will tell you whether the student can be included in the census or not.
- Column 10, 11 and 12 – Enter a relevant reason/s for any beyond control absences that you have stated in column 7.
For example if a student was absent for 20 days in total and 10 were absences beyond the control for two separate reasons, select a Beyond Control Reason 1 in column 10 and a Beyond Control Reason 2 in column 11 from the drop-down menu. If the relevant reason is not listed, type your own response. - Column 13, 14 and 15 – Enter a relevant reason/s for any absences that were within the control that you have stated in column 8.
For example if a student was absent for 16 days in total and all 16 days were absences within the control (for example, planned holiday) select a Within Control Reason 1 in column 13 from the drop-down menu. If the relevant reason is not listed, type your own response.

Part-time students' tab
Enter each part-time student who was present at school for less than the minimum period between the first day of the school year and Census Day to work out if they are eligible for inclusion in the part-time count of the Census. Columns that are automatically calculated are bold.
- Column 16 – Enter a unique student identifier, which does not explicitly identify any individual.
- Column 17 – Select the year level of the student from the drop-down menu.
- Column 18 – Select the gender of the student from the drop-down menu.
- Column 19 – Automatically calculated from the information entered on the 'Introduction' tab.
- Column 20 – Enter the number of days the student is enrolled to attend the school on a part-time basis during the RP.
For example, if a student attends 4 days per week Monday to Thursday and the school started the school year on 28 January 2020, then the PTD is 19. - Column 21 – Automatically calculated from values in column 19 and 20.
- Column 22 – Enter the number of days the student was present at school from the first day of the school year until Census Day.
- Column 23 – Enter the number of days the student was absent that were beyond the control of the student, parent or guardian.
- Column 24 – Enter the number of days the student was absent that were within the control of the student, parent or guardian.
- Column 25 – Automatically calculated from values in columns 21, 22 and 23. It will tell you whether the student can be included in the census or not.
- Column 26, 27 and 28 – Enter a relevant reason/s for any beyond control absence that you have stated in column 23.
For example, if a student was absent for 10 days in total and two days were absences beyond the control, select a Beyond Control Reason 1 in column 26 from the drop-down menu. If the relevant reason is not listed, type your own response. - Column 29, 30 and 31 – Enter a relevant reason/s for any absences that were within the control that you have stated in column 24.
For example, if a student was absent for 16 days in total and 12 days were absences within the control for two separate reasons (for example, planned holiday and transferred from other school, but reason within the control) select a Within Control Reason 1 in column 29 and a Within Control Reason 2 in column 30 from the drop-down menu. If the relevant reason is not listed, type your own response.

'Systems and processes' tab
Select what type of system(s) are used at the school from the drop-down menu.
The options are:
- Electronic
- Paper-based
- Combined electronic and paper-based
Once you have selected one of the options, all relevant fields required to be completed will be shown. As you complete this section and move through the various cells (yellow), you either enter the information or select from the drop-down option available.
Electronic
If 'Electronic' system has been selected, the following fields will be available for completion.
Paper-based
If 'Paper-based' system has been selected, the following fields will be available for completion.
Combined electronic and paper-based
If 'Combined electronic and paper-based'system has been selected, the following fields will be available for completion.
Submitting the workbook with the Census form
Once you have completed the workbook, submit the workbook together with the Census form via NSSAB Online Services.
